Personnel Records
Personal information regarding all employees is a permanent record and is considered confidential material. All memoranda, evaluations, and such other information placed in the District personnel file of an individual shall be classified as privileged communications. Under no circumstances (except where subpoenaed for court purposes) shall such material be made public or released to unauthorized persons, District or otherwise.
Any member of the staff has the right to examine the contents of any and all of his/her own personnel files per statutory provision. Exceptions to this shall be college credentials and letters of recommendation written at the employee’s request.
Nothing may be placed in the employee’s personnel file, which is maintained in the District Office, that directs or implies criticism regarding an employee’s character or performance without the employee’s knowledge. The employee will be required to sign and date the material being placed in the file. The employee shall have the right to file a written comment in response to such entries. Such response must be added within five (5) working days of the date the employee is advised of such criticism.
Names, addresses, and phone numbers of District personnel shall be released only upon approval of the director of personnel services (or as directed by the Superintendent) and in no case will such individual information or lists (such as building or District directories) be made available to commercial enterprises.
